Meetings are often not managed effectively from a human resources/communication standpoint. Managers must plan for effective meetings by first determining whether the meeting is needed and what the cost benefits of the meeting will be versus other forms of communication. The purpose and objectives of the meeting (information, problem-solving or clear-the-air) keep the meeting properly focused. Each meeting should have a detailed agenda which should be given to participants five days before the meeting. The timing of the meeting should depend on whether a meeting is regularly scheduled and who has the authority to call a meeting. Meetings for problem-solving or to clear-the-air are best held on neutral ground and set up to facilitate interaction. Minutes should be kept and distributed and each staff meeting evaluated by participants for determining successful format and participant satisfaction.
